Privacy4Cars’ mission is to “Drive Privacy” in the automotive sector. We are a business-to-business (B2B) company that specializes in vehicle privacy solutions for automotive businesses, such as dealerships, fleets, auto finance companies, and more.
This notice explains what personal data we collect when you use our business services, why we collect it, who we share it with, and what choices you have. This notice covers our business website (privacy4cars.biz), business portals, APIs, mobile apps, and any communications like email, social media, or events. It does not cover our services geared toward individual consumers; those have a separate privacy notice at privacy4cars.com.

1. Our Role
When you visit our website, use our apps, or contact us, we decide how and why your data is used. That makes us the “controller.” The controller is Privacy4Cars, Inc. (P.O. Box 287433, New York, NY 10128, USA) and, for EU/EEA operations, its subsidiary Privacy4Cars B.V. (Het Poortgebouw, Beech Avenue 54-62, Schiphol, 1119 PW, Netherlands).
When your business is a customer and integrates our services (for example,our white-label tools), we only handle data based on your company’s instructions. In that case, we are the “processor” or “service provider.”
2. Information We Collect
Here is what information we may collect and why we need it, including personal data (information that can identify you or be linked to you or your organisation).
About your company
- Company name, address, and main contact details
- Account IDs, contract details, subscription level, and billing information
About you as a business user
- Your name, job title, and work email or phone
- Login details and access permissions
Audit & Compliance records
- Records of user’s deletion workflows: what was done, when, where, and the result
- Compliance documentation, (e.g. Certificates of Deletion)
Communications
- Support tickets, emails, and messages you send us
Marketing and events
- Webinar and event sign-ups
- Newsletter preferences and resource downloads
- How you engage with us (e.g. if you open our emails) through tools such as CRM and marketing automation providers
Mobile app
- Account details and usage data (vehicles processed, deletion steps, timestamps)
- Location of the vehicles you process (required by business customers for compliance and process control)
- A one-time device ID check for security
3. How We Use Your Information
We use this data to:
- Run our platform, apps, and tools
- Set up and manage your account
- Complete data-deletion and compliance workflows
- Answer your questions and provide support
- Send you service updates and, where allowed, marketing messages
- Keep our systems safe and prevent fraud
- Meet legal and regulatory requirements
We do not use your data for unrelated purposes without telling you first or getting your explicit permission as required by law.
4. How We Share Your Information
We only share your data when we need to. Here are the main situations:
- Service providers who help us run our business (e.g. hosting, security monitoring). Our service providers are located in the United States, the EU, and India. A current list of our key service providers and their purposes is available on request by contacting privacyrights@privacy4cars.com.
- Your employer (our customer) if you have a Business User account, we may share your activity and vehicle records with the company your account belongs to
- Law enforcement or courts if required by law
- A buyer of our business if we sell or merge our company, your data transfers with it under this notice
We do not sell your personal data. We do not share your data for targeted advertising or act as a data broker.
5. Legal Basis and International Transfers
We are a U.S. company with operations in the U.S., India, the UK, and the EU. The legal reason we use your data depends on where you live. In general, we rely on:
- Providing the service you or your business asked for (contract)
- Running and securing our business (legitimate interests)
- Following the law (legal obligation)
- Your permission, where required (consent, like when you request our marketing resources or sign up for a newsletter)
Your data may be stored or processed in the United States, India, the EU, or the UK. When we move data across borders, we use safeguards (e.g. Standard Contractual Clauses, transfer impact assessments) to keep it protected.
6. How Long We Keep Your Information
We keep your data only as long as we need it. Once it is no longer needed, we delete it or make it anonymous. How long we keep it depends on the type of data and the requirements of our customers — for example, our Certificates of Deletion can be kept forever since they are devoid of personal information beyond the VIN and are required for the compliance of our customers and their customers. Most records are kept for 7 years or less.
7. How We Protect Your Information
We use strong security measures to protect your data, including encryption, access controls, monitoring, and security training for our team. No system is perfectly secure, but we regularly review and improve our safeguards.
If a data breach occurs that is likely to pose a high risk to your rights, we will notify you without undue delay as required by applicable law.
8. Cookies
We do not place our own tracking cookies on our websites. Some third-party tools that help run our site (like hosting or payment services) may set their own cookies. We do not control those. See our Cookie Policy for details.
We do not do cross-site tracking or targeted advertising. Note: if your browser sends a Global Privacy Control (GPC) signal, we already honour it.
9. Links to Other Websites
Our site may link to other websites we do not control. We are not responsible for how those sites handle your data. Check their privacy policies before sharing any personal information.
10. Your Rights
Depending on where you live, you may have rights. Regardless of where you live, we do our best to honor the following requests:
- Check what personal data we have about you
- Fix incorrect information
- Delete your data
- Give you a copy of your data
- Change the permissions you gave us at any time — this will not affect anything we did with your data before you withdrew
- Opt out of marketing emails
- Register an appeal if we turn down your request
- Inform you on how to complain with local authorities (see Section 13 for regulator details)

If we are acting as a processor for your company (not the controller), we will pass your request to your company or help as they direct.
11. Children’s Privacy
Our business services are not meant for anyone under 18 (or the applicable age threshold in your jurisdiction). We do not knowingly collect data from children. If we find out we have, we will delete it right away

12. Changes to This Notice
We may update this notice from time to time. When we do, we will change the “Last updated” date at the top. If the law requires it, we will let you know in another way too.
